2. What This Policy Covers

This policy explains what personal data we collect, why we collect it, how we use it, and your rights under the Hong Kong Personal Data (Privacy) Ordinance (Cap. 486) ("PDPO").

We are a data user under the PDPO. We collect and handle personal data in accordance with the six Data Protection Principles set out in the Ordinance.

3. What Data We Collect

Depending on how you interact with us, we may collect:

Communications

  • Messages, emails, or other correspondence you send us.

Website usage data

  • IP address, browser type, pages visited, and time spent on site — collected automatically via cookies and analytics tools (see Section 8).

We do not collect sensitive personal data such as financial account numbers, government-issued identity numbers, or health data unless strictly necessary and with your explicit consent.

4. Why We Collect It and How We Use It

We collect personal data only for purposes directly related to our business activities. Specifically:

We will not use your personal data for any purpose beyond what is stated here without first obtaining your explicit consent.

5. Legal Basis for Processing

Under the PDPO, we collect and use your personal data on the following bases:

  • Your consent — where you have opted in to receive marketing communications or submitted a contact form.

  • Contractual necessity — where data processing is required to fulfil a booking or service agreement with you.

  • Legitimate interests — where we have a genuine business reason to use your data that does not override your rights, such as improving our services or following up on a direct enquiry.

6. Who We Share Your Data With

We do not sell your personal data to third parties.

We may share your data with trusted service providers who assist us in operating our business, including:

  • Email and CRM platforms (e.g. for sending confirmations and newsletters)

  • Website hosting and analytics providers

  • Event venue partners, where necessary to deliver a booked service

All third-party providers are required to handle your data securely and only for the purposes we specify. We do not permit them to use your data for their own marketing purposes.

We may also disclose your data where required by law, court order, or government authority.

7. How Long We Keep Your Data

We retain personal data only for as long as necessary to fulfil the purpose for which it was collected:

  • Enquiries that do not convert to bookings — up to 12 months from the date of last contact.

  • Booking and event records — up to 7 years, in line with Hong Kong accounting and tax record-keeping requirements.

  • Marketing contact lists — until you unsubscribe or request deletion.

After the applicable retention period, data is securely deleted or anonymised.

8. Cookies and Website Analytics

Our website uses cookies — small text files stored on your device — to understand how visitors use the site and to improve your experience.

Types of cookies we use:

  • Essential cookies — required for the website to function. Cannot be disabled.

  • Analytics cookies — help us understand page visits and traffic sources (e.g. Google Analytics). No personally identifiable information is stored.

You can control cookie preferences through your browser settings. Disabling analytics cookies will not affect your ability to use the site.

9. Your Rights Under the PDPO

Under the Personal Data (Privacy) Ordinance, you have the right to:

  • Access the personal data we hold about you.

  • Correct any inaccurate or incomplete personal data.

  • Request deletion of your personal data, subject to our legal retention obligations.

  • Withdraw consent to marketing communications at any time.

  • Object to the use of your data for direct marketing purposes.

To exercise any of these rights, email us at feste@feste-group.com with the subject line "Data Privacy Request". We will respond within 40 days, in line with PDPO requirements.

There is no fee for a data access request unless it is manifestly unfounded or excessive, in which case we may charge a reasonable administrative fee.

10. Direct Marketing

We will only send you marketing emails if you have given us your consent to do so — for example, by ticking the relevant box on a sign-up form or lead generation form.

You can unsubscribe from marketing emails at any time by:

Unsubscribing from marketing does not affect our ability to send you transactional messages related to a confirmed booking.

11. Data Security

We take reasonable and practical steps to protect your personal data from unauthorised access, loss, misuse, or disclosure. These measures include:

  • Secure HTTPS encryption on our website

  • Access controls limiting who within our team can view personal data

  • Regular review of data handling practices

No method of transmission over the internet is completely secure. If you have reason to believe your data has been compromised, please contact us immediately.
